Terms & Conditions

1. Scope of Services

Maryland Apostille Services provides concierge-level document services, including:


  • Notarization (in-person and remote online notarization) 
  • Apostille and authentication processing (state and federal) 
  • Embassy legalization coordination 
  • Document preparation guidance 
  • Certified translation coordination 
  • Domestic and international shipping coordination 


We act as a professional facilitator and courier service and do not issue apostilles or government certifications directly.

2. Authorization to Act on Your Behalf

By using our services, you authorize Maryland Apostille Services to act on your behalf to:


  • Submit documents to Clerk of the Circuit Court, Secretary of State, US Department of State, and embassies/consulates 
  • Communicate with government agencies regarding your documents 
  • Sign and complete non-legal processing forms when required for submission 


This authorization is limited solely to document processing and does not grant legal representation.

3. Client Responsibilities

 Clients agree to:


  • Provide accurate, complete, and truthful information 
  • Submit documents that meet all applicable requirements 
  • Review all instructions provided prior to submission 
  • Confirm document acceptance requirements with the receiving country or agency 


We are not responsible for delays or rejections due to:


  • Incorrect, incomplete, or improperly prepared documents 
  • Failure to follow instructions 
  • Country-specific requirements not disclosed at the time of order

4. Processing Times

All turnaround times are estimates only and are not guaranteed.

Processing timelines may be affected by:


  • State and federal agency processing times 
  • Clerk of Court certification requirements 
  • Embassy or consulate procedures 
  • Holidays, closures, or unforeseen delays 
  • Shipping carrier performance 
  • Events beyond our control, including but not limited to government shutdowns, natural disasters, transportation disruptions, or system outages 


Maryland Apostille Services is not responsible for delays outside of our control.

5. Fees & Payment Terms

  • Full payment is required before any processing begins 
  • Fees are based on the scope of services requested at the time of booking 
  • Additional fees may apply if: 
    • Documents require correction, replacement, or resubmission 
    • Additional services are requested after processing begins 
    • Government or third-party fees change 


All pricing is communicated in advance whenever possible.

6. No Refund Policy

All payments are non-refundable once processing has begun. This includes, but is not limited to:


  • Document review and preparation 
  • Notarization services 
  • Submission to any government agency 
  • Shipping label creation or usage 
  • Work completed on your behalf

7. Shipping & Third-Party Services

We coordinate shipping through third-party carriers such as FedEx and DHL.

We are not responsible for:


  • Shipping delays or delivery failures 
  • Lost, stolen, or damaged packages 
  • Customs delays or international clearance issues 


Shipping insurance is available upon request for an additional fee

8. Document Risk & Handling

While we take every precaution to safeguard your documents:


  • Clients assume all risk associated with sending original documents 
  • We are not liable for loss or damage caused by third parties, carriers, or unforeseen circumstances 


We strongly recommend retaining copies of all documents before submissio

9. Remote Online Notarization (RON)

For remote notarization services:


  • Valid government-issued identification is required 
  • Identity verification must be successfully completed 
  • Not all countries or agencies accept electronically notarized documents

 

It is the client’s responsibility to confirm acceptance prior to selecting RON services.

10. No Guarantee of Acceptance

We do not guarantee that documents will be accepted by foreign governments, agencies, or institutions. Acceptance is determined solely by the receiving authority. 

11. Limitation of Liability

To the fullest extent permitted by law, Maryland Apostille Service's liability is limited to the total amount paid for services. We are not liable for:


  • Indirect, incidental, or consequential damages 
  • Financial loss, missed deadlines, or travel disruptions 
  • Rejection of documents by any authority

12. Right to Refuse Service

We reserve the right to refuse or cancel service for:


  • Suspicious or potentially fraudulent activity 
  • Incomplete or unverifiable information 
  • Requests that do not meet legal or ethical standards
